Safeguarding & Terms of Service

Introduction:

At ARC, we believe that transformation isn't something we do to you—it's something you unlock within yourself. Our role is to create a safe, supportive environment where that possibility can thrive. We are committed to empowering individuals to make meaningful changes and upholding the highest standards of care and ethics for our clients and coaches. This document outlines our safeguarding policies and terms of service to ensure a safe, respectful, and transparent coaching relationship.

Your story matters—your healing matters. You matter.

1. Confidentiality

We are dedicated to maintaining the confidentiality of all information our clients share. Your personal information will never be shared without your explicit consent, except where required by law. We uphold the highest privacy standards, ensuring that sensitive data is securely handled in compliance with data protection regulations (e.g. GDPR).

2. Boundaries

Our coaches are trained to maintain professional boundaries at all times. Clear lines are drawn to ensure that both clients and coaches understand the scope and limits of the coaching relationship. This includes respecting personal space, avoiding dual relationships (e.g., friendships or romantic involvement), and staying within the boundaries of professional coaching.

3. Transparency and Accessibility

Our policies are designed to be transparent and easily accessible. We aim to ensure that all clients fully understand the services provided, our ethical obligations, and their rights. If at any point you feel unclear about any of our policies, please do not hesitate to reach out.

4. Ethical Conduct

ARC operates with a strict code of ethics. All coaches are expected to:

  • Act in ways that promote the welfare of clients.

  • Work within their areas of competency.

  • Respect client interests and personal boundaries.

  • Comply with the law and ethical standards.

Our coaches will never knowingly cause harm to a client and will work with integrity, honesty, and respect for each individual’s unique circumstances.

5. Safeguarding Policy

We take safeguarding seriously. Our safeguarding measures include:

  • Clear guidelines for what constitutes appropriate and ethical conduct.

  • A commitment to respecting all individuals and preventing harm.

  • Procedures for addressing any concerns or ethical dilemmas.

  • Regular reviews of our safeguarding policies to adapt to changing needs.

Clients who feel unsafe or uncomfortable can contact us directly to discuss their concerns. ARC also encourages reflective practice, and we supervise and support coaches to ensure they follow safeguarding best practices.

6. Support for Coaches

We are committed to ongoing training and awareness for all ARC coaches. This includes familiarising coaches with safeguarding protocols to handle challenging situations professionally and carefully.

7. Dispute Resolution

If any issues or disputes arise, we are committed to resolving them fairly and respectfully. Clients are encouraged to contact us directly to discuss any concerns, and we will work with you to find a suitable resolution. A formal process will be followed to address any complaints or disputes if necessary.

8. Terms of Service

Services Provided:

ARC offers professional coaching services aimed at personal transformation. We provide tools, strategies, and support to help clients overcome challenges and achieve sustainable change. Our coaching sessions are confidential, respectful, and conducted in line with the highest ethical standards.

Payment and Fees:

Clients agree to pay for coaching sessions according to the pricing and payment terms outlined during the initial consultation. Before commencing any services, full details of fees and payment options will be provided.

Cancellation Policy:

Clients must give at least 24 hours notice to cancel or reschedule a session. Failure to do so may result in a charge for the missed session.

Limitation of Liability:

ARC is not liable for any personal, physical, or mental harm that may arise from the coaching process. Our coaches are here to guide and support clients, but the client is ultimately responsible for decision-making and actions.

Termination of Services:

Either party may terminate the coaching relationship at any time. Clients who wish to discontinue services should inform their coach as soon as possible. ARC will notify clients promptly if they need to terminate the coaching relationship.

Client Responsibilities:

Clients are expected to engage actively in the coaching process, take responsibility for their actions, and respect the boundaries and confidentiality of the coaching relationship.
